Helikona Pty Ltd (ACN 697 792 662) ("Helikona", "we", "us", "our") is committed to protecting your personal information. This Privacy Policy explains what information we collect, why we collect it, how we use and disclose it, and your rights in relation to it.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles ("APPs"). By using our website at helikona.com ("Site") or engaging our services, you consent to the practices described in this Policy.

1. What personal information we collect

Depending on how you interact with us, we may collect:

  • Contact details — name, email address, phone number, organisation, and job title;
  • Enquiry and engagement information — messages you send us, meeting notes, and details of the services you are interested in or have engaged us for;
  • Client information — information needed to deliver our advisory services, manage our client relationship, and send invoices; and
  • Usage and analytics data — pages visited, time on site, referral source, device type, and other aggregated browsing data collected via our analytics tools.

We do not knowingly collect sensitive information (as defined in the Privacy Act) unless you provide it voluntarily in the course of an engagement and it is reasonably necessary for us to hold it.

2. How we collect personal information

We collect personal information:

  • directly from you when you contact us by email, fill in a form, book a meeting, or engage our services;
  • from publicly available sources such as LinkedIn or your organisation's website, where we are researching prospects or preparing for a client engagement; and
  • automatically through analytics tools when you visit the Site (see section 5 below).

Where practicable, we collect personal information directly from the individual concerned.

3. Why we collect personal information

We collect and hold personal information for the following purposes:

  • Client management — to deliver advisory services, communicate with clients, manage engagements, send invoices, and maintain our client records;
  • Marketing and business development — to reach out to prospective clients, send relevant content (such as field notes and event invitations), and maintain relationships with our professional network; and
  • Site improvement — to understand how visitors use the Site and improve its content and performance.

If you do not wish to receive marketing communications from us, you can opt out at any time by emailing hello@helikona.com or by following the unsubscribe instructions in any marketing email we send.

4. Disclosure of personal information

We do not sell personal information. We may disclose it to:

  • Service providers — third-party tools we use to operate the business (e.g. email platforms, scheduling software, analytics providers, cloud storage). These providers are engaged on terms that require them to handle information appropriately;
  • Professional advisers — lawyers, accountants, or insurers where necessary; and
  • Regulators or law enforcement — where required or permitted by law.

Some of our service providers process data outside Australia. Where we disclose personal information to overseas recipients, we take reasonable steps to ensure they handle it in a manner consistent with the APPs.

5. Analytics and third-party tools

The Site uses Vercel Analytics to collect aggregated, anonymised data about Site usage. This data does not identify you personally. Vercel may process data on servers outside Australia; their privacy practices are described in Vercel's privacy policy.

The Site does not currently use advertising cookies or cross-site tracking. If this changes, we will update this Policy accordingly.

6. Security

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These steps include access controls, encrypted communications, and limiting access to information to those who need it for their role.

No method of electronic transmission or storage is completely secure. If you have reason to believe your interaction with us is no longer secure, please contact us immediately.

7. Retention

We retain personal information for as long as necessary to fulfil the purposes described in this Policy, or as required by law. When personal information is no longer needed, we take reasonable steps to destroy or de-identify it.

8. Access and correction

Under the APPs you have the right to request access to personal information we hold about you and to ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant, or misleading. To make a request, contact us at hello@helikona.com. We will respond within 30 days.

We may decline an access or correction request in limited circumstances permitted by the Privacy Act, in which case we will explain our reasons in writing.

9. Complaints

If you believe we have handled your personal information in a way that breaches the APPs, please contact us first at hello@helikona.com so we can try to resolve the issue. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

10. Changes to this Policy

We may update this Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. We encourage you to review it periodically.
